Flex Databases Builds Your eCRFs In-House – So Your Study Doesn’t Have to Fit Someone Else’s EDC

How Flex Databases gives Sponsors more flexibility without compromising compliance by building eCRFs from scratch, in-house, for every client.

Let’s face the facts: not every EDC provider actually builds the technology behind the study. When it comes to the eCRFs, many rely on third-party solutions.

And while they still position their EDC as the best solution on the market, these development choices can create all sorts of practical problems when the protocol stops being “standard.” A new cohort is added, or a new lab or device needs to be connected — and suddenly, one study change turns into a chain of dependencies:

  • Can the EDC provider make the change themselves?
  • Does another vendor need to be involved?
  • How long will the development take?
  • Will it affect validation or existing study data?
  • And how much will the change cost?

We Don’t Just Build eCRFs. We Own the Technology Behind Them.

At Flex Databases, we approach this differently. We built our EDC technology ourselves, and our in-house team builds every client’s eCRFs on top of a structured clinical model that connects:

  • study events,
  • visits,
  • forms,
  • edit checks and triggers,
  • auto-calculations,
  • queries,
  • workflows,
  • permissions,
  • randomization and trial supplies,
  • and data exports.

This means an eCRF is not simply a digital form – it is part of how the protocol is translated into the system: which data should be collected, when it should be collected, which rules apply, who can interact with it, and what happens to that data next.

And because we own the underlying technology, we can adapt that model whenever a study requires it.

The Difference Becomes Obvious When the Protocol Changes.

A new workflow does not automatically mean forcing the study to fit predefined system limitations, or waiting for a third-party technology provider.

Because we own the underlying technology – and build every eCRF ourselves – we can respond faster when requirements change and solve unusual study needs without waiting for someone else’s product roadmap.

There are also fewer layers between a study problem and the people who can actually change the product. We work directly with the study requirements and adjust how the system supports them, while preserving previous versions, existing data, audit trails, and traceability.

For Sponsors and CROs, That Means Fewer Dependencies and More Control Over the Study Build.

Protocol amendments can be implemented without rebuilding the study from scratch. Integrations, workflows, and data collection can be adapted to the actual study design rather than handled through manual workarounds. Previous versions remain traceable, changes are recorded, permissions are controlled, and the history of the clinical data is preserved.

Complex studies need technology that can keep up. That is the problem we solve at Flex Databases – by building your eCRFs ourselves.

How Flex Databases’ Review and Merge Tool Transforms Pharmacovigilance Case Processing

Every pharmacovigilance case tells an evolving story. A case rarely arrives once and stays static – new information keeps surfacing after the initial intake: a patient is hospitalized, a birth date gets corrected, a new reaction is reported, a concomitant medication comes to light. For safety teams processing cases from clinical trials, marketed-drug consumer reports, […]
