Investigator Site File Management with Flex Databases

Managing Investigator Site Files across multiple sites is one of the more operationally demanding aspects of clinical trial oversight. Flex Databases addresses this with a dedicated ISF module built around three distinct user experiences (Sponsor, CRA, and Site) each tailored to the workflows and priorities of its audience.

The Sponsor View: Study-Wide Visibility

Sponsors access a centralized dashboard that provides a real-time overview of documentation activity across all participating sites. ISF completeness, QC status, and site progress are surfaced at a glance, making it straightforward to identify sites that need attention without manually digging through individual records.

The All Sites page extends this oversight to the operational level, showing site status, QC process progress, and recent activity in a single view. Clicking into any site opens a Site Snapshot drawer – a detailed summary of that site’s ISF health, covering:

  • Missing documents
  • Review status and open findings
  • Recent activity
  • Quick actions: requesting documents, assigning CRA reviews

This gives sponsors both visibility and control while keeping collaboration with sites and CRAs fluid.

The CRA View: Focused on Execution

The CRA experience is built around review workflows rather than broad oversight. The CRA dashboard surfaces pending reviews, document status, and findings requiring follow-up – filtered to the sites assigned to that CRA.

The CRA-specific Site Snapshot drawer mirrors the sponsor view in structure but prioritizes execution: assigned review tasks, document review progress, findings, and quick actions to continue the review process. The distinction is intentional – CRAs need to move efficiently through their workload, not navigate study-wide data.

At the center of the CRA workflow is the ISF Data Workspace: the core document management and collaboration area where CRAs can access site documents, run structured reviews using checklist templates, track findings, and maintain full audit traceability throughout.

A Shared Infrastructure for All Parties

The ISF module creates a single compliant environment where sponsors, CRAs, and sites work from the same underlying data – each through an interface shaped to their role. Document workflows are managed efficiently and transparently, with every action captured in the audit trail.
